Integrating Your KTÜ Email Account with Microsoft Outlook

outlook2007As all students at KTÜ know, our university recently created email accounts ending in …@ogr.ktu.edu.tr for all its students. Considering how much students rely on email in their daily lives, I think this is a very useful initiative. I actively use this email address, but the situation is this: as you know, all faculty members have email addresses ending in …@ktu.edu.tr. There are two basic differences between the email addresses of these two groups, students and faculty members. First, as you may have noticed, student email addresses contain the .ogr part, while faculty addresses have no such part, which is not a big deal. The second, very important difference, however, is that the server services of student email accounts are provided not by KTÜ’s servers but directly by Microsoft Outlook’s servers. Briefly, this means the following: while faculty members’ email is fully supported by KTÜ’s servers, the email addresses of us students are supported by Microsoft Outlook. This in turn means that when we want to integrate our email addresses containing the .ogr part into the Microsoft Outlook program and use them easily from the desktop, we cannot use the SMTP (outgoing mail server) and POP3 (incoming mail server) settings that KTÜ provides for faculty members. In this post, I will tell you about a few things I went through while trying to integrate the student email account KTÜ provides to us students with Microsoft Outlook, and, as a result, how to do it.

To solve this problem, I went to the KTÜ BİM (Information Technology Centre) a few weeks ago. When I explained the situation to the staff there, they said they were not aware of such a thing and that I was the first to come to them about it. When I asked whether there was any solution, the answer I got was along the lines of ‘‘use your email account on the web; is it really necessary for you to check your email with Outlook?’’. After a short, friendly argument, they said the necessary steps would be taken to solve the problem and that I would be informed by email. How seriously they took the matter, of course, I will keep to myself. Although about a week has passed, I have not received any email with an update. Frankly, I don’t expect to receive one for a long while yet.

This morning I spoke to the staff at Microsoft Turkey and explained the situation. After checking, they said there was no service for such a domain on the servers in Turkey and that I could find an answer in English for the solution at https://support.live.com. As they suggested, I reported the problem in English to the staff at this address, and they gave me this link containing the solution: http://help.outlook.com/en-us/140/cc835669.aspx. First, we type www.hotmail.com into the address bar of our web browser and, on the sign-in page that opens, sign in with our email address ending in …@ogr.ktu.edu.tr and our password.

In our email account, we copy the …….outlook.com part shown in the address bar of our web browser. This is the SMTP (outgoing mail server) address we will use when integrating our email account into Microsoft Outlook.

Then open Microsoft Office Outlook on your computer and click Tools / Options in the top menu.

On the Options page that opens, click these tabs in turn:

1 — Mail Setup

2 — E-mail Accounts

3 — New…

On the Add New E-mail Account page that opens, click the option labelled Microsoft Exchange, POP3, IMAP, or HTTP and click Next.

After you click Next, the Auto Account Setup page will open. However, since we will configure our SMTP and POP3 settings ourselves, tick the Manually configure server settings or additional server types option at the bottom of the page and click Next again.

The Internet E-mail Settings page will appear. On this page:

1 — As the Account Type, we enter POP3; as the Incoming mail server, outlook.com; and as the Outgoing mail server (SMTP), the address we copied from our account earlier, …. outlook.com. Don’t forget to enter your account details in the other sections too.

2 – Once the User Information, Server Information and Logon Information sections are filled in, we click the More Settings button.

On the page that opens, we click the Outgoing Server tab and enter our account details in the required fields, as shown in the image above.

Then we click the Advanced tab, make the changes shown in the image above and click the OK button at the bottom.

After checking our settings with the Test Account Settings button at the top right of the Internet E-mail Settings page, we press the Close button and, again on the Internet E-mail Settings page, click Next and then Finish, completing the integration of our address ending in …@ogr.ktu.edu.tr into Microsoft Outlook.

Note: This tutorial was prepared in Microsoft Office Outlook 2007. The same settings apply to other versions, but there may be differences in the panels between versions.
